One Destination. An Entire Napa Valley Experience.

Planning a group experience in Napa Valley can mean coordinating transportation, restaurants, wineries, activities and multiple vendors.

Aboard the Napa Valley Wine Train, many of those pieces can come together through one experienced team.
Your guests can enjoy chef-prepared dining made fresh onboard, historic rail travel through Napa Valley, wine and beverage experiences, private gathering spaces and optional enhancements—all while the journey itself becomes part of the event.

PRIVATE EXPERIENCES

Make the Wine Train your own with a private railcar or an entirely private train.

Private Railcar — Enjoy a dedicated railcar for your group while traveling on one of our regularly scheduled Wine Train journeys.

Private Train — Reserve the entire train for greater exclusivity, schedule flexibility and customization.

From intimate gatherings to events for hundreds, our Group Sales team can help you find the right fit for your vision and budget.

JOIN A SCHEDULED EXPERIENCE

Join one of our regularly scheduled Wine Train experiences without reserving a private railcar.

Your group will be seated together at its own tables and grouped within the same area of the railcar, while other Wine Train guests may also be traveling in the car.

This is typically the most cost-effective option for groups that don’t require exclusive use of a railcar.

CHOOSE THE RIGHT TRAIN FOR YOUR GROUP

From intimate private events to gatherings of up to 350 guests, the Napa Valley Wine Train offers two distinct trains for group experiences. Explore each to find the setting, capacity and experience that best fits your event.

Planning Your Wine Train Group Experience

You don’t need to have every detail figured out before contacting us. Start with what you know—your approximate group size, preferred date or date range, and what you’d like your guests to experience. Our Group Sales team can help you build from there.

1

Start With Your Group & Goals

Tell us who you’re bringing together and what you hope to accomplish. A leadership retreat, client dinner, incentive trip, team celebration or social gathering may each point toward a different Wine Train experience.

2

Choose Your Level of Privacy

Join a scheduled experience with your group seated together, reserve a private railcar exclusively for your guests, or explore a fully private train with greater flexibility around scheduling and customization.

3

Think About Your Timing

Consider whether a daytime or evening experience works best for your itinerary. Daytime journeys can incorporate more of the Napa Valley landscape and winery experiences, while evening journeys shift the focus toward dining, conversation, entertainment and celebration.

4

Dining Is Part of the Experience

Meals are freshly prepared onboard, and guests order from the available menu while aboard the train—so planners generally don’t need to collect individual meal selections in advance. Our team can also help you plan for dietary restrictions and food allergies.

5

Build Around Your Priorities

Wine experiences, winery visits, beverage packages, pre-boarding receptions, gifting and other enhancements may be available depending on the experience you choose. Tell us what matters most and we’ll help identify the possibilities.

6

Budget Helps Us Guide You

You don’t need a finalized budget to begin planning. If you have a general per-person or overall investment in mind, sharing it can help our team recommend the experiences, level of privacy and enhancements that make the most sense for your group.

7

Planning Beyond the Train

If the Wine Train is one part of a larger Napa Valley itinerary, our team can also provide recommendations and introductions for lodging, ground transportation and other local hospitality needs.

Ready to Start Planning?

An estimated guest count, preferred date or date range and a general idea of your event goals are enough to get the conversation started. We’ll help you work through the rest.

Looking for a more exclusive way to experience the Napa Valley Wine Train? From an intimate gathering for just a few guests to an event for hundreds, private options are available based on your group’s priorities, schedule and budget.

Reserve a dedicated railcar exclusively for your group while traveling as part of one of our regularly scheduled Wine Train journeys.
Beyond having your own space to dine, connect and celebrate, private railcars give you greater control over the atmosphere onboard. Dedicated microphones and sound systems allow a CEO or host to welcome guests, make remarks or give a presentation during the journey. You can even select a Spotify playlist that fits your group rather than relying on our standard onboard music.
A private railcar is an excellent choice for groups that want a more personalized and exclusive experience while traveling on the Wine Train’s regular schedule.

For the greatest level of exclusivity, flexibility and customization, reserve an entire Wine Train for your event.
With the entire train dedicated to your guests, the possibilities expand considerably. In addition to private onboard spaces, microphones, sound systems and personalized music, guests are encouraged to explore the train and experience its different historic railcars throughout the journey.
Private trains also create greater flexibility around scheduling and itinerary design. Depending on availability and your event goals, opportunities may include winery stops beyond those featured on our regularly scheduled experiences, along with expanded onboard and offboard experiences tailored to your group.
From intimate gatherings to large-scale events of up to 350 guests, our Group Sales team can help explore what becomes possible when the train—and the journey—is yours.

You don’t need a private railcar or train to keep your group together. On select regularly scheduled experiences, groups can be seated together at their own tables and clustered within the same area of a railcar while other Wine Train guests travel in the car.
Joining a scheduled experience is typically the most cost-effective option. A private railcar adds exclusivity and greater control over your onboard environment, while a private train provides the greatest flexibility to shape the entire experience.

Tell us your approximate group size, preferred date, event goals and desired level of privacy. Our Group Sales team can help you compare the options and determine the best fit for your experience and budget.

We can accommodate everything from intimate gatherings to large events of up to 350 guests, depending on the experience and train configuration. Groups of 21 or more are assisted by our Group Sales team, but there is no minimum group size to inquire about a private railcar or private train. Smaller groups joining a regularly scheduled experience can typically book directly online or through Reservations.

Groups joining a regularly scheduled experience are seated together at their own tables and clustered within the same area of the railcar, while other Wine Train guests may also be traveling in the car.
A private railcar gives your group exclusive use of a dedicated car while traveling as part of a regularly scheduled Wine Train journey. A private train provides exclusive use of the train with greater flexibility around scheduling and customization.
Generally, greater privacy, exclusivity and schedule flexibility require a greater investment.

Yes. Private experiences aren’t limited to large groups. Even a small group may inquire about reserving a private railcar or private train. Availability and pricing depend on the date, train configuration and experience you’re planning.

Yes. Depending on the experience, group size and availability, our Group Sales team can help you explore options such as private railcars or trains, wine and beverage experiences, pre-boarding receptions, winery experiences, gifting, entertainment and other enhancements.

Experience length varies by journey. Scheduled experiences range from shorter dining journeys to immersive daytime experiences lasting much of the day. Private-train schedules may offer additional flexibility. Our Group Sales team can help match the timing to your event itinerary.

Meals are freshly prepared onboard by our culinary team, and guests can order from the available menu while aboard the train. That means planners generally don’t need to collect individual entrée selections in advance.

Yes. Our onboard culinary team can accommodate many dietary restrictions and preferences. Because guests order from the available menu while onboard, they have more flexibility in selecting what works for them than with many traditional catered events. Please share known food allergies or dietary needs with our Group Sales team in advance so we can help plan accordingly.

You don’t need to have every detail finalized before contacting us. An estimated guest count, preferred date or date range and a general idea of what you’d like your guests to experience are enough to begin.
If you already know your preference for daytime or evening, shared or private accommodations, winery experiences, food and beverage enhancements or have an approximate budget in mind, those details can help our Group Sales team recommend the best options.

The Wine Train can host leadership retreats, executive gatherings, client and VIP entertainment, incentive travel, employee recognition, team outings, holiday parties, company celebrations, networking events and other corporate and group gatherings.

Yes. Winery visits and wine tasting experiences can be incorporated into select group itineraries. Depending on your group’s schedule, size and preferred experience, our Group Sales team can help build an itinerary that includes time off the train at a Napa Valley winery. Or bring the winery experience onboard with a winemaker-hosted lunch or dinner featuring food-and-wine pairings, guided tasting discussions and insights into the winemaking process.

Beverages can be included and customized to fit your event. Our Group Sales team can create beverage packages that may include wine, beer and non-alcoholic beverages, or help you manage consumption through drink tickets. Beverages can also be charged based on actual consumption to the event host, or guests can purchase their own beverages individually.

If the selected Wine Train experience already includes a welcome glass, wine tasting or pairing, those inclusions will remain part of that experience.

Your Wine Train journey can be just the beginning. Depending on your selected experience, group size and availability, our Group Sales team can help you add thoughtful touches that bring your event together—from a welcome reception and hosted beverages to entertainment, gifting and custom wine experiences.

Start the experience before your guests ever board the train. Pre-boarding receptions can be as simple as welcoming your group with a sparkling wine toast or expanded into a one-hour reception featuring up to three stationed appetizers, wine by the glass, beer and non-alcoholic beverages.

It’s an easy way to welcome attendees, encourage conversation and bring everyone together before departure.

Our Napa station also offers a private conference room available for rent, accommodating up to 20 guests seated or 30 standing. When sharing a ride with other guests on the same train, this allows you a space to get away and be together in private.

Make beverages part of your hosted experience with options tailored to your event. Packages can include selections of Napa Valley wines, beer, spirits and non-alcoholic beverages.
Prefer more control over consumption? Ask about drink tickets, beverages hosted based on actual consumption, or allowing guests to purchase beverages individually.

Extend your group experience beyond the train with a visit to a Napa Valley winery.

Depending on your group size, schedule and selected experience, our Group Sales team can explore opportunities to incorporate a winery stop and tasting experience into your itinerary. For private train events, greater itinerary flexibility may open opportunities to visit wineries beyond those featured on our regularly scheduled Wine Train experiences.

It’s a seamless way to combine historic rail travel, onboard dining and a Napa Valley winery experience into one memorable event—with our team helping bring the pieces together.

Turn the journey into part of your event programming. From intimate groups to large company gatherings, our team can help create interactive experiences designed to bring guests together.

Murder Mystery Experiences
Add professional actors and an interactive mystery to your group lunch or dinner. Murder Mystery works for both small and large groups; for groups larger than 80, the experience can expand across multiple dining cars, with three actors dedicated to each participating car.

Custom Company Trivia
Make the entertainment personal with trivia created around your company, team or event. Working with each meeting planner, we can develop questions and content specifically for your attendees and host the game onboard during the journey.

Winemaker Lunches & Dinners
Bring Napa Valley wine education to the table with a hosted winemaker lunch or dinner. Guests can enjoy thoughtfully paired food and wine while participating in guided tasting discussions and learning more about winemaking, the wines and the people behind them.

Add something extra to the table with available culinary enhancements. Depending on your selected experience, options may include additions such as a shared cheese course or other food-and-wine enhancements.

Add a thoughtful finishing touch for attendees, employees, clients or VIPs with gifting from the Napa Valley Wine Train Wine & Gift Store.

Our Group Sales team can help create gifts that complement your event, from Wine Train and Wine Country merchandise to curated gift bags and wine. Wine gifts can also be shipped, making it easy to send something home with attendees or recognize guests who may not be traveling with your group.

For groups staying in Napa Valley, we can make gifting even easier by coordinating delivery to local hotels, allowing gifts to be waiting for attendees as part of their arrival or event experience.

Whether you’re welcoming guests, recognizing employees, thanking clients or commemorating a special occasion, our team can help you incorporate gifting into the overall experience.

You don’t need to decide on every enhancement before contacting us. Tell us about your group, your goals and the atmosphere you’d like to create, and we’ll help you explore the options that make sense for your event.
